Merge Fields Guide

On different places in the software, property managers can use merge fields. Click to see the merge field guide.

For tenancy agreement

When the signature type is “eSignature” or “Wet Signature”, the Microsoft Word documents (.docx) will be scanned. Any merge field in the document will be retrieved and a translation will be proposed, also a preview of the document with the translations can be viewed or downloaded.

Once the merge fields are reviewed and validated, the documents will be saved as PDF with the translations.

The file doesn’t get scanned

Make sure the file is a Microsoft Word document with the extension “.docx”. Only these are scanned. “.doc” is not supported because it’s too old a version of Microsoft Word.

If the file is already signed, we won’t scan it either: this is only for “eSignature” and “Wet Signature” options.

The merge field I used doesn’t work

On the merge field review step, we will give you hints:

  1. Invalid merge field: The merge field doesn’t exist. If you click on “Show All”, we will give you the closest match we have for this field (if we have a meaningful one). Refer back to the Merge Field Guide and modify your word document accordingly.
  2. Field with missing value:
    • This field exists, but we have no value for this tenancy agreement. Example: we have no address for the tenant because the application form was not filled.
    • The “signature” tags get filled upon confirmation of the agreement by the manager, not before. This will be written in the “Show All” modal (see above) as “This will be filled upon confirmation”.


For Messaging

We will scan the message body and match the fields we can. Not all merge fields are available for messaging. Make sure this will be correctly transformed by clicking on the “Preview” icon below the message body.



For Credit Control Templates

You can use merge fields inside the Rent Collection panel, for the Credit Control: Escalation Policy & Templates.

Not all fields might be supported, you can see if the fields are correctly working by clicking on “Show” when the template was already created, or by clicking on “Preview” when in the “Add credit control template” form.
