Moving tenants from one room to another

Occasionally the need might arise to move a tenant from one room to another. Here are the steps to do that, depending on what the scenario is:

Scenario 1: The tenant lived in one room, and has now moved to a new room
This almost always requires an amendment to the tenancy agreement, in a way that it is somewhat considered a new tenancy. As such, there is no set function to move the tenant.

To do this we would strongly suggest going through the Onboarding flow.

1) On the tenancy click on "Terminate", and select a move-out date, as the date they will move from one room to another.
1) Create a new onboarding, entering the tenant information and the date they'll move to the new room. COHO will link the original tenant to this onboarding.
2) Select "No" to holding fee, application form, and referencing
3) Add the original tenancy agreement and amendment for new room.
4) If the tenant needs to sign this, select COHO eSigning, otherwise select "already signed".

As ever, the responsibility is on you to ensure the documents you are giving are correct and within the rules for the area you're operating.


Scenario 2: We made a mistake when we added the tenant to the room
In this case we suggest you terminate, cancel, or delete the tenancy (depending on how much information you want to store), and then add the tenant to the new room.

1) On the tenancy page, click on "Terminate" and select the reason, and the date. Very likely this will require deleting. Note: Record information on the tenant before hand (or alternatively, add the tenant first THEN remove the old one).
2) Go to the new room and click on "+ Tenancy". This is different to "+ Onboarding", as it is used when a tenant is already living in a room.
3) Add the tenant information, and COHO will link them up with the original tenant.


FAQ:

Why doesn't COHO offer the ability to move rooms?
Whilst we used to have a button to do this, we found many users were using it to move a room mid-tenancy. This would move all of the history of this tenancy to be at the new room. We don't want our users to fall foul of any contract disputes, so we removed this ability.


Future Development:

We plan to introduce a button to move rooms correctly, selecting whether it was a mistake, or a mid-tenancy move. This will then allow you to enter the correct documents and the system will facilitate this move.
